Terms and Conditions

1. Bookings & Payments

• Our fees are published above.
• All bookings must be made by the paying parent/caregiver ('the client') through the Tutor Cruncher portal.
• A confirmed booking is a legal contract; the client is responsible for all associated fees.
• Once a lesson slot has been assigned - the booking continues for the school year until otherwise advised by the client.
• Clients are invoiced at the beginning of each term, with full payment due within one week.
• Payments must be made via **Credit Card or Bank Transfer **(no EFTPOS available).
• Unpaid invoices exceeding 60 days will be referred to a credit management agency with a 20% service charge.
• The full amount for the lesson will be charged if an appropriate cancellation notification has not been provided (see below).

2. Cancellations and Make-up Lessons

Permanent Cancellations

• Must be requested in writing via email by the authorised client (parent/caregiver).

Planned Absences (e.g., school or family events)

• Email hello@ktltuition.co.nz or update via the Tutor Cruncher online portal at least two working days in advance (e.g., cancel a Tuesday session by the previous Friday).
• A make-up lesson may be arranged with the Tutor when advance notice is provided.
• Please note only two sessions per term can be cancelled (within adequate time) and be eligible for a make up session.

Sickness

• Notify us by 9 a.m or at least 8 hours in advance. on the day of the session to avoid being charged.
• Tutors may arrange a make-up lesson, but it is not guaranteed for late notifications.

Make-up Lesson Policy

• Make-up lessons must be used within the current term. (they do not roll over to the following term)
• No make-ups will be provided for absences where notice could have been given (e.g., school camps, sports events, exams).

Extended Leave (3+ weeks)

• Provide at least one week’s notice via email.
• Your regular slot may be allocated to another student, but we will offer alternative options where possible.

3. Communication

• All communication should be directed through the TutorCruncher portal or hello@ktltuition.co.nz.
• Tutors cannot provide personal contact details or manage invoices.
• Tutors will provide lesson summary reports following each session. However, if parents want to further discuss their child’s progress this can be arranged with advance notice to occur during the first 5 minutes or last 5 minutes of a session.

4. Fees & Adjustments

• KTL Tuition reserves the right to adjust fees and will provide four weeks advance notification via email before changes take effect.

5. Holiday Tutoring & Courses

• Additional tuition during school holidays can be booked through the TutorCruncher online portal.
• Holiday or one day course fees must be paid in full before the course starts.
• Cancellations made one week before the course incur a 20% administration fee.
• No refunds are given for cancellations after the course has started.

6. Term Dates & Public Holidays

• KTL Tuition follows Ministry of Education term dates (available on their website).
• There is no tuition on public holidays except Labour Day.

7. Tutor Cancellations

• If a tutor is unavailable due to illness or university obligations, we will reschedule at a mutually convenient time.
• KTL Tuition reserves the right to cancel lessons when necessary, with as much notice as possible and provide a refund for any prepaid sessions.

KTL Tuition reserves the right to amend these Terms and Conditions at any time without notice. Continued use of our services constitutes acceptance of any updated Terms and Conditions.
